Sales visit report
01Visit details
- Client
- Company name and location.
- People you met
- Names and roles — who decides, who influences.
- Date and type
- In person, phone or video; first visit or follow-up.
- Objective
- What you wanted from this visit, in one line.
02What happened
- Summary
- Three or four sentences: what was discussed and how it went.
- Client needs
- Problems, projects or changes they mentioned.
- Objections
- Price, timing, competitor, product fit — in their words.
03Opportunity
- Products or services of interest
- What, how many, and for when.
- Estimated value
- An approximate amount, if you know it.
- Competitors mentioned
- Who else they're talking to, and what they offer.
- Stage
- Where this now sits in your pipeline.
04Next steps
- Actions agreed
- What you'll do, and what the client will do.
- Owner and due date
- Who does each action, and by when.
- Next contact
- Date and channel of the next touchpoint.
How to use this template
- Fill it in within the hour. Details fade fast; the objection you remember at 11:00 is gone by Friday.
- Write objections in the client's words. "Too expensive compared with the Italians" is more useful than "price".
- One line per next step, each with an owner and a date. A next step without a date is a wish.
- Keep the summary short. The value is in needs, objections and next steps.
What makes a visit report useful
A good visit report works for three people at once: the rep, who walks into the next visit remembering what was promised; the manager, who sees the pipeline as it really is; and the business, which learns why deals are won and lost. Our article on why the CRM fails in the car explains why most reports never get written — and how to fix it.
Or say it to emily in thirty seconds
Everything in this template can be said out loud. After the visit, send emily a WhatsApp voice note or give her a call:
emily writes it up as a dated note on the right deal or company, asks if the client name could mean more than one record, and can set a follow-up task or reminder. See visit reports and voice CRM.
